# Business email on your own domain

An address such as `alex@example.com` connects your messages with your business name. It also lets the business manage addresses consistently and keep them when changing email providers, provided it retains control of the domain.

The benefit is practical as well as presentational. A role address such as `sales@example.com` can remain stable when staff change, while individual accounts give people their own access and accountability.

## The four things you need

You need a registered domain, an email service, access to the authoritative DNS settings and a supported way to read and send messages. That may be webmail, a desktop application or a mobile client.

Your website does not have to use the same provider as your email. A combined service can simplify administration, while an existing collaboration suite may already meet your team's needs. Decide based on functions and responsibility rather than assuming one arrangement is always better.

If you are still choosing the address, start with [what a domain name is](https://resahost.net/en/guides/what-is-a-domain-name/).

## Plan people and role addresses

Give each person a separate account rather than sharing one password. Decide which addresses need their own mailbox, which can be aliases and which require a shared mailbox with delegated access.

An alias directs messages to another destination; it is not necessarily a separate login or collaborative inbox. Check whether users can reply from the role address and whether the system provides the visibility the team needs.

Write down who handles `info@`, `sales@` and `billing@`. A professional address is useful only if messages reach somebody responsible for answering them.

## Connect and authenticate the service

MX records direct incoming messages to your provider. SPF and DKIM support sender authentication, and DMARC applies alignment and policy to the domain shown in the From address.

These mechanisms help receivers evaluate mail, but they do not guarantee inbox placement or prevent every impersonation attempt. Strong account protection remains necessary, particularly multi-factor authentication and a safe recovery process.

The [DNS connection guide](https://resahost.net/en/guides/connect-your-domain-to-email/) explains the configuration sequence, and [SPF, DKIM and DMARC](https://resahost.net/en/guides/spf-dkim-and-dmarc/) explains the security checks.

## Make the move in stages

Create the destination mailboxes before routing messages to them. If you already use another service, plan how to copy old mail, contacts and calendars. Those items do not move automatically when DNS changes.

Test external sending, receiving and replies. Test aliases and messages sent by your website or invoicing software. Keep the previous account available for the agreed transition and verify that nothing important remains there before closing it.

For a full walkthrough, use [the business email setup guide](https://resahost.net/en/guides/set-up-business-email/).

## Avoid predictable failures

A full mailbox can stop new mail. A forgotten alias can lose enquiries. Incorrect authentication can affect delivery, and relying only on the live mailbox may leave you with limited recovery after accidental deletion.

Ask about quotas, retention, backups and restoration before ordering. Include what happens when an employee leaves and how the business recovers administrative access. Keep domain renewals and billing contacts current so the address itself remains available.

ResaHost's [business email service](https://resahost.net/en/services/business-email/) can cover mailbox and DNS setup within the agreed package. Provide your user list and existing mail arrangement so the team can establish the right configuration and a practical transition plan.
